Dispatch Assistant

We are seeking a dedicated Dispatch Assistant to support our Dispatch Manager in overseeing all aspects of our dispatch operations. The ideal candidate will assist in managing and coordinating the dispatch of goods, ensuring accurate picking, packing, and labelling of orders for shipment. Additionally, they will provide support in addressing customer inquiries, concerns, and delivery issues promptly and professionally via phone, email, and messaging services.

Key Responsibilities:

  • Assist in managing and coordinating the dispatch of goods, ensuring accurate picking, packing, and labelling of orders for shipment.
  • Support in creating daily schedules for dispatch personnel, optimising routes for efficiency.
  • Assist in conducting quality checks on outbound orders to ensure they meet company standards and customer requirements.
  • Help maintain accurate records of inventory levels and report discrepancies to the appropriate parties.
  • Collaborate with internal departments such as warehouse, logistics, and customer service to ensure seamless operations and effective problem resolution.
  • Assist in ensuring all dispatch activities adhere to safety regulations and company policies, promoting a safe working environment.
  • Aid in keeping detailed records of dispatched orders, delivery schedules, and any incidents or delays, and provide regular reports to management.
  • Assist in addressing customer inquiries, concerns, and delivery issues promptly and professionally via phone, email, and messaging services, striving to enhance customer satisfaction.
  • Support the identification of areas for process improvement within the dispatch department and assist in implementing solutions to enhance efficiency and reduce costs.

Qualifications:

  • High school diploma or equivalent required; Bachelor's degree in Logistics, Supply Chain Management, or related field preferred.
  • Previous experience in a dispatch or customer service role is advantageous.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite.
  • Ability to work effectively in a team environment.
  • Detail-oriented with a proactive approach to problem-solving.
